Qualifications:     

  • High School Diploma required; Associate’s or Bachelor’s degree preferred.
  • Minimum of 3 years of experience in an administrative support role, preferably in a school district or educational setting.
  • Proven experience supporting district-level or executive administrators.
  • Proficiency in Google Suite and other office applications; experience with data systems, project management tools, and digital platforms is a plus.
  • Exceptional interpersonal, written, and verbal communication skills, with the ability to interact effectively with diverse stakeholders.
  • Strong organizational skills with the ability to prioritize tasks, manage multiple deadlines, and work under pressure.
  • Demonstrated initiative, problem-solving skills, and commitment to a collaborative, team-oriented environment.
  • Familiarity with social media, digital content creation, and public relations is beneficial.

The Office of Teaching and Learning is seeking a dynamic and detail-oriented Administrative Assistant to support the Assistant Superintendent and enhance our district’s educational programs and initiatives. This role is pivotal in ensuring the smooth daily operations of the department, managing communications, coordinating events, and providing essential project and process support.

 

The ideal candidate will be proactive, highly organized, and able to handle diverse responsibilities with professionalism and confidentiality. This position offers the opportunity to contribute meaningfully to our district’s educational impact by supporting various projects, maintaining efficient processes, and fostering community engagement.

 

Key Responsibilities:

  • Administrative and Operational Support
    • Support the day-to-day operations of the Office of Teaching and Learning, ensuring efficiency in workflows, resource management, and communication.
    • Manage complex calendars, coordinate meetings, and organize district-wide events, including professional development sessions and community engagements.
    • Maintain supply inventory, process purchase orders, and handle office logistics (in collaboration with buildings and other district offices) to ensure a well-organized and productive workspace.
    • Coordinate the placement of student teachers and interns and support onboarding processes in conjunction with Human Resources.
    • Update office websites and procedural documentation to reflect current information and resources.
  • Project Management and Event Coordination
    • Support the Assistant Superintendent and Director of Support Services in managing departmental projects, setting timelines, and tracking progress on district initiatives, using project management tools to enhance workflow.
    • Organize, track, and arrange expenditures for various programs and collaborate with Directors to ensure budget alignment.
    • Coordinate and arrange the supports, transportation and accommodations for student field trips, off-site events and district-related activities.
    • Facilitate surveys and feedback collection for events and initiatives, assisting in the evaluation and improvement of district programs.
  • Data Analytics and Reporting
    • Compile, analyze, and prepare data reports using district information systems to support informed decision-making.
    • Track and maintain records of professional development hours for education personnel, ensuring building administrators have accurate documentation.
    • Support compliance reporting and assist in records management, ensuring timely and accurate information handling.
  • Communication and Community Engagement
    • Draft and prepare reports, correspondence, and updates to assist the Assistant Superintendent in informing the district community of key initiatives, accomplishments, and events.
    • Assist with the creation of digital and graphic content to support district-wide communication efforts and enhance accessibility.
    • Coordinate interpretive services for language accessibility, fostering an inclusive environment for non-English-speaking families.
  • Process Improvement and Efficiency
    • Identify and implement improvements in office procedures, focusing on streamlining workflows, optimizing meeting preparation, and enhancing interdepartmental communication.
    • Maintain a department knowledge base, including procedures and frequently asked questions, to support onboarding and training initiatives.
    • Provide basic technical support and troubleshooting for digital platforms used within the office (e.g., Google Suite, Schoology, Comply, & PA-ETEP).

Terms of employment:     

12 month, full-time position to be determined in accordance with the Confidential Terms and Conditions of Employment to begin as soon as possible. Estimated start of the position is around the beginning of February 2025.
